Purpose of the role

Overview of the role:  

The HR and Health and Safety Assistant will help on the daily task of all the HR function and should provide clerical and administrative support and compiling and update employee record (hard and soft copy) and report.

Key responsibilities:  

  • Assist with day-to-day operations of the HR functions and duties.
  • Provide clerical and administrative support to Human Resources executives.
  • Compile and update employee records (hard and soft copies)
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes.
  • Deal with employee requests regarding human resources issues, rules, and regulations.
  • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc)
  • Communicate with public services when necessary.
  • Properly handle complaints and grievance procedures
  • Coordinate communication with candidates and schedule interviews.
  • Assist initial orientation to newly hired employees.
  • Assist our recruiters to source candidates and update our database.
  • Maintain and update safety documentation and records.
  • Perform safety inspections and hazard assessments of facilities and equipment.
  • Support on Conducting safety training sessions for staff.
  • Investigate and report safety incidents and violations.
  • Ethical conduct: Ensure that all activities and personal conduct is delivered to the highest ethical standards, in line with ZSL policies and procedures.

About You

  • Proven experience as an HR Assistant, Staff Assistant or relevant human resources/administrative position
  • Significant experience working on application of national laws and regulatory requirements.
  • Experience in implementing thorough safeguarding and health and safety practises and protection principles across a diverse number of stakeholders to ensure our duty of care is adhered to.
  • Demonstrated experience in project. 
  • Experience of applying donor policies and procedures including procurement, management, monitoring, and risk management.
